Vlearned organisation user manual
This manual reflects how the product works today: an organisation-scoped workspace with LMS tooling, optional HR features, assessments, certificates, Live Learning (live sessions), gamification, and support tickets. Your sidebar may show fewer items depending on role and permissions.
Who this is for
- Organisation admins and staff managing users, courses, enrollments, and settings.
- Instructors delivering content, grading, and running sessions.
- Learners / employees taking training, assessments, and earning certificates.
- HR managers (when enabled) using people, attendance, and compliance-oriented views.
Public site, help, and certificates
- The marketing site introduces modules (for example LMS, VTutor, VTrain, VPublisher). Use Documentation in the footer to open this help hub: user manual, terms, privacy, and disclaimer.
- Anyone can verify credentials using the certificate lookup on the landing page (by certificate number) and the certificate registry where configured.
Signing in and organisation context
- Sign in with the account your administrator created. Your workspace URL includes your organisation slug; confirm it matches the tenant you intend to administer or learn in.
- If you belong to multiple organisations, switch context using the organisation picker or login flow your administrator configured.
- The organisation dashboard summarizes activity; widgets may differ by subscription and permissions.
Organisation admin sidebar (typical areas)
Navigation is permission-aware. Common sections:
- Users & roles — Admin users, learners/employees (labels adapt to corporate vs school), instructors, custom roles, and departments.
- HR (when visible) — HR home, people, org chart, onboarding, leave, and compliance shortcuts.
- Learning Studio — Categories, Courses, Lessons, Assessments. Courses support the visual builder, prerequisite rules where enabled, and optional drip schedules that release lessons or quizzes over time.
- Learning operations — Learning paths, enrollments, attendance, grades, certificates (templates and issuance), and live meetings (video sessions).
- VBuilder / AI — Question wizard and question bank for reusable items; organisation AI chat appears here when your role includes it.
- Engagement — Forums, announcements, and reviews.
- Insight Center — Reports hub for enrolment, progress, and operational exports (exact reports depend on configuration).
- Settings — Organisation profile, branding, integrations, and subscription-related options visible to admins.
- Support — Internal support tickets for your organisation.
Courses, lessons, and drip content
- Create or edit a course from Courses, then open the course builder to structure lessons and assets.
- Attach assessments where appropriate; passing rules and attempts are configured per assessment.
- Use drip settings on a course to define schedules that unlock lessons or quiz milestones over calendar days or cohort pacing.
- Course prerequisites may block enrollment until required courses are completed—learners see clear messaging when content is locked.
Assessments and VBuilder
- Organisation LMS screens list assessments tied to training. Learners launch attempts from their course or assessments area.
- Authors maintain a central question bank and can run the question wizard to add structured item types, then link questions to assessments.
- Grading views aggregate learner attempts; adjust policies (attempt limits, timers, feedback) to match your accreditation rules.
Learning paths and enrollments
- Learning paths sequence multiple courses for a programme or role.
- Enrollments control who is admitted to each course or path; bulk actions depend on your installation.
- Use announcements and reminders alongside enrollment deadlines.
Live Learning and attendance
- Schedule and manage Live Learning from the Live Learning area; instructors and learners join from their dashboards when provisioned.
- Attendance captures participation where your process requires it and feeds reporting.
Certificates
- Administrators choose templates and fields; issued certificates respect completion and assessment outcomes.
- Learners download credentials from their certificates area.
- Third parties validate certificates using the public verification tools on the marketing site.
Gamification
- Leaderboards highlight learner and instructor activity by period.
- Organisation admins can adjust gamification settings where that menu is enabled.
Learner / employee experience
- My courses, learning paths, lessons, and assessments hold day-to-day training.
- Optional areas include Live Learning, saved courses, certificates, attendance, transcript, training progress, and notifications.
- Forums and announcements keep cohorts informed inside the tenant.
Standalone instructor dashboard
Instructors using the global instructor shell (outside the organisation sidebar layout) see parallel tools: categories (when linked to an org), courses, lessons, assessments, grades, learners, attendance, certificates, communication, VBuilder questions, Live Learning, support, analytics, and leaderboard shortcuts.
Support tickets and quality habits
- Open support tickets for platform issues; include steps to reproduce and screenshots.
- Monthly housekeeping: archive stale courses, rotate assessment items, review inactive users, and confirm drip schedules still match programme calendars.
Go-live checklist
- One pilot learner completes a full path: enrollment → lessons → assessments → certificate.
- Certificate verification succeeds from the public lookup.
- Roles reviewed so instructors cannot escalate privileges unintentionally.
- Support contact details and policies linked from your onboarding email.
